Purchase Air Travel

Arrival
A major milestone in trip planning is the purchase of airline tickets. This purchase is a major expense (the largest single budget item by far), it sets the dates of the trip, and it allows team members to arrange their personal schedules with precision. For all these reasons, this milestone is psychologically uplifting and exciting because it makes the trip very "real."

As a rule, the earlier the tickets are purchased, the better. A large group of seats is more likely to be available and generally the cost increases as the travel date approaches. Of course, in order to purchase tickets the dates and the passenger names must be known. Passengers will also need a valid passport.

Many countries require a cash payment to depart the country back to the USA. It can be called an exit or airport tax. Some countries require exact cash payment, while others allow credit card payment. Some include the "tax" in the airfare paid to the airline. It is a good idea to get clarification on all these points. Some countries require a Visa before entry is allowed. These can be expensive. Rules for individual countries can be found at this US State Dept web site.

Excess baggage charges for a large group can be quite high. It is advantageous to verify rules which will apply to your group as early as possible in the planning process. Other possible expenses to discuss with the travel agent are Airline Cancellation fees and Travel Insurance. See the link below for an example of a low-cost policy we have often used which provides payment for emergency medical care and emergency medical evacuation back to the US, among other things.
